Preparing and Uploading Your Virtual Presentation

Dear ESSCIRC ESSDERC  Virtual Educationals Presenters,

On behalf of the ESSCIRC ESSDERC 2020 Organizing Committee, we would like to thank you for your patience and understanding during this time of transition to Virtual Educationals. The Organizing Committee has decided that the 2020 Conference will now be a series of virtual events of select, on-demand presentations.


Your presentation material will only be made available to attendees (i.e. those who have registered for the Educationals)  for a limited period of time, beginning Monday, September 7, 2020.


Please note the following: 

  • the files to be provided for each presentation are 3:

  1. a pre-recorded video with voice-over-slides, in MP4 format 

  2. a much shorter version of your pre-recorded video (maximum 2 minutes) which should summarize and give key messages of your presentation, also in MP4 format

  3. your slide presentation, in pdf format (this file will be downloadable by all attendees) 

  • deadline for final version of materials to be uploaded on the virtual platform: August 31, 2020, although we highly recommend that you upload all your files some days before this very final deadline, in order to avoid any technical problem.


We are sure you understand we need to unmistakably identify all your files,  therefore please be so kind to strictly follow the instructions here below: 

  • start with the number assigned to your Educational and the alphabetical letter assigned to your presentation (check programs)

  • add « _ »

  • then add your surname

  • then «  -slides » /nothing for the whole MP4 file/ «  -summary » for the shorter version


Example​: the 3 files of the first presentation in the first Educational, that is

Tips for recording:

  1. Use as quiet an area as possible

  2. Avoid areas that have echo

    • Rooms should be fairly small

    • Sound dampening with carpeting, curtains, furniture

  3. Hardline internet connection recommended, but if unavailable, a strong Wi-Fi connection

  4. Good headset with microphone close to mouth BUT away from direct line of mouth to reduce “pops”.  Avoid using default built-in microphone on computer.

  5. Do a test recording of a couple of minutes and review the sound and picture quality, MP4 format, and bit rate before recording the entire presentation.  Make adjustments if needed.
